What to put in an email signature

A signature should be short but give recipients everything they need. These parts are usually enough.

Name and title

Your full name and job title should be the most prominent line.

Company and logo

Your company name and a small logo make it clear who the message is from.

Contact details

Phone, website and, if needed, an address. Add the ones people will actually use, not all of them.

Social media

Icons for the few accounts your company keeps active are enough.

Photo

Optional, but it adds a personal touch in roles that work closely with customers.

BEST PRACTICES

A signature that looks right on every screen

Your signature will open on desktops and phones, in light and dark themes, across different apps. A few simple rules prevent most problems.

Limit the width

A width of around 600 pixels or less reads well on most screens without scrolling.

Keep images light

Use your logo and photo at the size they are shown. Large files make email heavier and slower to load.

Think mobile

Crowded, multi-column layouts are hard to read on small screens. Keep text short and lines few.

Check dark mode

Some apps invert colors in dark mode. Use a logo with a transparent background and enough contrast, and check it with the night preview.

Do not turn text into an image

Avoid making the whole signature a single image. If images are blocked, your details disappear and nobody can select the text.

INSTALLATION

Add the signature to your mail app

When your signature is ready, you copy it as HTML or download it. The app walks you through the setup for the program you use, with separate guides for Outlook (Windows, Mac and web), Gmail and Apple Mail.

A copied signature is static. If your details change, update them in the studio and copy the signature again.

TEAM PLAN

When to move to the Team plan

If the signature is just for you, the free plan is enough. When your team grows and everyone's signature needs to stay consistent, the Team plan makes it much easier.

With the Team plan you connect Microsoft 365 or Google Workspace and manage everyone's signature centrally. On Microsoft 365 the signature is added on the server, and on Google Workspace Zeyl writes each person's Gmail signature, so nobody has to copy anything by hand. Signature campaigns and surveys are also part of this plan. It costs 9 € per month plus 1 € per person and can be tried for 5 days with Microsoft 365 or the copy option.

Is the Zeyl signature generator really free?

Yes. The Personal plan is free: you design your signature and copy or download it. The free plan includes 10 Zeyl AI edits; campaigns and surveys are not included.

Which mail apps does it work with?

It works with most apps that accept HTML signatures. The app has step-by-step setup guides for Outlook, Gmail and Apple Mail.

How do I add my logo and colors?

Just enter your website address. Zeyl scans the site, finds your logo and brand colors and applies them to the signature. You can still change them by hand.

What does Zeyl AI do?

It lets you edit your signature by typing or by showing an image, for example "add our address, take the colors from the logo". Every change can be undone.

Will my signature look right in dark mode?

The night preview in the studio shows how your signature looks in dark-themed apps. We recommend a logo with a transparent background and enough contrast.

Will my signature update by itself if my details change?

A copied signature is static and does not update by itself. Edit it in the studio and copy it again. Automatic updates require the Team plan with a Microsoft 365 or Google Workspace connection.

Can I create signatures for my whole team?

The free plan is for one person. For a team, the Team plan manages everyone's signature centrally through a Microsoft 365 or Google Workspace connection.

How do I sign up?

You can sign up with Google, Microsoft, or an email address and password. If you sign up with email, a verification code is sent to your address.
